About the Role
We are seeking a highly capable and proactive Executive Assistant to support the Deputy Ombudsman and two General Managers.
This is more than a traditional EA role. You will operate as a trusted partner and central coordination point, enabling effective leadership, decision making, and delivery across executive priorities. You will bring a strong mix of executive support, coordination, and analytical capability, working across governance processes, stakeholder engagement, and organisational reporting.


Key Accountabilities

  • Provide high-level, proactive support including complex diary management, meeting coordination, travel, and briefing preparation.
  • Anticipate priorities and manage competing demands across multiple executives.
  • Support preparation for board and senior stakeholder engagements.
  • Coordinate executive workflows, track actions and ensure timely follow-up.
  • Support governance processes including document management, approvals and version control.
  • Prepare and quality assure executive-level reports, papers and presentations.
  • Support performance monitoring through data analysis and reporting (Power BI and related tools).
  • Develop and maintain executive reports and dashboards.
  • Analyse trends, risks and emerging issues to support informed decision-making.
  • Build strong relationships across the organisation, Executive team and external stakeholders.
  • Act as a key point of contact and represent the Deputy Ombudsman where appropriate.
  • Support coordination of sensitive or high-profile matters with professionalism and discretion.



Required Skills and Experience

  • Solid experience providing executive or senior administrative support in a complex environment.
  • Demonstrated ability to support multiple executives and manage competing priorities.
  • Strong organisational skills with the ability to stay ahead of deadlines and shifting priorities.
  • Excellent written and verbal communication skills, including preparing executive-level documents.
  • High level of discretion, judgement and professionalism.
  • Strong data literacy, with experience in reporting, analysis or dashboards (Power BI desirable).
  • Advanced Microsoft 365 capability.
